What an ID Badge Actually Costs Per Card

Ribbon and card prices are easy to find. Cost per finished badge is not, because it includes waste, cleaning and the printer itself. Here is the whole calculation with a worked example.

The formula

Cost per card = ribbon cost per print + card cost + cleaning cost per card + reprint waste + hardware per card.

  • Ribbon cost per print. Ribbon price divided by the print count on the box, not by a figure from a different model's spec sheet.
  • Card cost. Box price divided by cards in the box.
  • Cleaning cost per card. Annual spend on cleaning cards, rollers and pens, divided by annual cards.
  • Reprint waste. The share of cards scrapped for a typo, a bad photo or a misprint. Measure it for a month if you never have.
  • Hardware per card. Printer price plus any printhead replacement, divided by the cards you expect over its life.

Worked example

Catalogue prices from September 2026, for an organisation printing 2,000 cards a year on a Magicard 300.

Which figures are real: the ribbon and card lines are catalogue prices and stated print counts. Cleaning, waste and printer life are assumptions for the example. Substitute your own and the shape holds: once volume is meaningful, consumables are most of the cost.

What moves the number most

Ribbon choice

This is the largest single line and the easiest to change. If your badges are text, a logo and a flat colour rather than full bleed photographs, a half panel ribbon such as the Magicard MA450YMCKO-HALF prints colour on part of the card only. That is written up in the half panel guide.

For badges that need no colour at all, monochrome changes the maths entirely. On the same printer, the Magicard MC600KO gives 600 prints for 66.92 dollars, about 11 cents a card against 25 for full colour.

Reprint waste

Free to fix and usually ignored. Most of it is process. Check the photo and the spelling before printing, and print one test card after changing a template rather than discovering the problem after fifty.
